This Privacy Policy regulates the manner in which personal data of users of the Impact Space website, as well as donors, partners, and beneficiaries of the programs implemented within the project, are collected, used, stored, and protected.

The Impact Space website is administered within the framework of a project coordinated by the East Europe Foundation, the organization responsible for implementing mechanisms for the protection of personal data and ensuring compliance with applicable legislation.

This policy has been developed in accordance with:

Law No. 133/2011 on the Protection of Personal Data of the Republic of Moldova;
Regulation (EU) 2016/679 on data protection (GDPR), applicable in relations with international partners and donors;
other relevant normative acts concerning data protection and information security.

By using the Impact Space website or by submitting personal data through the forms available on the platform, users confirm that they have read and acknowledged this policy.



2. Personal Data Controller


The controller of personal data collected through the Impact Space platform is:

East Europe Foundation – acting as the coordinator of the Impact Space project and administrator of the associated data infrastructure.

3. Types of Personal Data Collected


Impact Space collects only the personal data necessary for the functioning of its programs and the implementation of project activities.

• the organization or company represented;
• financial data required for donations or sponsorships;
• information voluntarily provided in contact, collaboration, or donation forms.

Data are collected exclusively through:

• contact forms;
• donation forms;
• program or event registration forms;
• electronic correspondence or other voluntary interactions with the platform.

Impact Space does not intentionally collect sensitive data such as information related to health, religious beliefs, or other special categories of personal data.



4. Purpose of Personal Data Processing


Personal data are collected and used exclusively for legitimate purposes such as:

• administration of donations and sponsorships;
• recording transactions in financial and accounting documents;
• confirmation of payments or financial contributions;
• communication regarding the use of funds and the impact of projects;
• informing users about Impact Space programs, events, and activities;
• managing requests for collaboration or partnership;
• administering participation in mentorship programs, grants, hackathons, or accelerators;
• complying with the legal obligations of the organization.

Data are not used for purposes other than those mentioned above.



5. Legal Basis for Processing


The processing of personal data is carried out based on the following legal grounds:

• compliance with the legal obligations of the organization;
• the legitimate interest of the East Europe Foundation in managing project activities.



6. Data Storage and Retention Period


Personal data are stored only for the period necessary to fulfill the purposes for which they were collected.

In the case of financial and accounting documents, personal data are stored for the period established by the legislation of the Republic of Moldova regarding the archiving of accounting documents.

In such cases, the data cannot be deleted before the expiration of the legally established retention period.

After the legal retention period or the purpose of processing has expired, the data are deleted or anonymized.



7. Rights of Data Subjects


In accordance with the legislation of the Republic of Moldova and GDPR standards, individuals whose data are processed benefit from the following rights:

• the right to access personal data;
• the right to rectify inaccurate or incomplete data;
• the right to erasure (“right to be forgotten”);
• the right to restrict processing;
• the right to object to the processing of data;
• the right to data portability;
• the right to withdraw previously granted consent.

If the deletion of data does not conflict with legal provisions, the data will be removed from the database within a maximum of 30 calendar days from the receipt of the request.

Impact Space does not sell, distribute, or transfer personal data to third parties for commercial or marketing purposes.

Data may only be transmitted in the following situations:

• to institutional partners involved in the implementation of the project;
• to IT service providers responsible for ensuring the functioning of the platform;
